These are the terms for using Supplier Folio AI, called Supplier Folio here. They are written to be read. If a line here does not match what the app does, the app is right and the line is a mistake: write to us and we will fix it.
The licence
Supplier Folio is licensed to you under Apple's standard licence agreement for apps from the App Store. These terms add the parts that are particular to Supplier Folio. Apple's Media Services terms apply to the subscription.
What is free
Supplier Folio is free to download. Free, with no subscription: reading invoices on the iPhone with Apple Intelligence, reviewing and saving them, the invoice list, and one price-rise flag on each invoice. You can also read invoices with your own OpenAI key, described below.
Reading on the iPhone uses Apple Intelligence, which needs an iPhone 15 Pro or later with Apple Intelligence turned on and set to a language it supports.
Supplier Folio Pro
Pro is an optional subscription. It adds server reading on any iPhone, supplier price lists and every price change, Movers, agreed prices, short deliveries and claims, tax by quarter or month, fuel levy and fee tracking, spend by category, CSV export and the full price history.
Server reading is for running your own business. It is limited to fair use of 300 invoices a month; when a month's readings are used, the app says when they come back and you can read on the iPhone or enter an invoice by hand meanwhile.
In Australia, Pro costs A$24.99 a month or A$249.99 a year. Prices are set in the App Store and differ by country, so the price you pay is the one shown in the app before you subscribe. There is no free trial. When you tap Subscribe, Apple bills you that day.
The subscription renews automatically at the end of each period unless you cancel at least 24 hours before that period ends. You cancel in your Apple Account subscription settings: on the iPhone, Settings, your name, Subscriptions. The Pro screen in the app has a Manage or cancel link that opens the same place. Cancelling keeps Pro until the end of the period you have paid for. Refunds are handled by Apple under Apple's terms.
If Pro lapses, nothing is deleted. Your invoices, suppliers, prices and claims stay on the phone, and the Pro features lock until you subscribe again.
Reading is not perfect
Supplier Folio reads a photo or PDF of an invoice and sorts it into lines. A product, a quantity, a price or a total can be misread. You review every invoice before it is saved, and you can change any line, before and after saving.
Price changes, overcharges and short deliveries are worked out from what was read and what you entered. Check a figure against the invoice before you rely on it, and before you send a claim.
Claims and your suppliers
Supplier Folio writes a claim message for you to send. Whether a supplier agrees to a credit is between you and your supplier. We are not a party to your supply agreements and we do not contact suppliers for you.
Tax and records
Supplier Folio adds up the tax printed on your invoices, using the tax name and rate you set. It is not tax, accounting or financial advice, and it does not lodge anything. Your accountant or bookkeeper decides what goes on your returns. Keep your original invoices as your records.
If you use your own OpenAI key
The key is yours. You open the OpenAI account, you add the credit, and you pay OpenAI for what you use. We do not manage, see or hold your OpenAI account or your key, and we add nothing to what OpenAI charges. The invoice text and up to three page photos go straight from your iPhone to OpenAI. OpenAI's terms of use cover what OpenAI does with them.
Your data
Your invoices and everything worked out from them are stored on your iPhone. There is no account, no cloud and no sync, so there is nothing for us to restore: if the phone is lost or the app is deleted, the data goes with it. Use the CSV export in Pro to keep your own copy.
Your rights under Australian law
Nothing in these terms takes away a right you have under the Australian Consumer Law, or under the law of the country you live in, that cannot be excluded. Where the law lets us limit those rights, our liability is limited to supplying the service again or paying the cost of having it supplied again.
Otherwise, and to the extent the law allows, the app is provided as it is, and we are not liable for loss arising from its use, including a misread line, a missed price change, a claim a supplier does not accept, lost data, or charges from a third-party service you connected yourself.
Changes
We may change these terms. Changes are posted here with a new date. Using the app after that date means you accept them. We cannot notify you directly, because we do not have your contact details.
