Supplier Folio is free to download. Pro is an optional subscription: in Australia, A$24.99 a month or A$249.99 a year. Most questions are answered below.

It says Apple Intelligence is not available.

Reading on the iPhone uses Apple Intelligence, which needs an iPhone 15 Pro or later. If yours has it: it may be turned off (turn it on in Settings, Apple Intelligence & Siri, then come back); it may still be downloading (leave the iPhone on Wi-Fi and charging, then try again); or the iPhone may be set to a language it does not cover. The reason is written in the app's Settings. On any iPhone you can also enter an invoice by hand, read with your own OpenAI key, or use server reading in Pro.

How do I use my own OpenAI key?

In the app's Settings, add your OpenAI API key. The app asks first, then sends the invoice text and up to three page photos straight from your iPhone to OpenAI on your key. Supplier Folio never sees them. You pay OpenAI for what you use; we add nothing.

What does server reading send, and to whom?

Server reading is part of Pro and works on any iPhone. The first time, the app asks you. With your yes, it sends up to three page photos, the text read from them and the product names you already keep for that supplier to Supplier Folio's server, and OpenAI behind it, to be read into lines. Our server does not keep them. Fair use is 300 invoices a month.

How do I cancel Pro?

Pro is billed by Apple, so it is cancelled with Apple: on the iPhone, Settings, your name, Subscriptions, Supplier Folio AI. The Pro screen in the app has a Manage or cancel link that opens the same place. Cancel at least 24 hours before the period ends. Pro stays on until the end of the period you paid for, and nothing is deleted.

I paid, but Pro is not open on this iPhone.

Open the Pro screen in the app and tap Restore. Apple may ask for your Apple Account password. Use the same Apple Account you subscribed with. If Pro still does not open, email us.

How do I back up my invoices?

Supplier Folio keeps your data on your iPhone and nowhere else, so the backup is yours to keep. In Pro, Export CSV (Invoices, More) gives you a file of your invoices to save in Files or send to your accountant. Export one regularly.

Does it sync between my iPhone and iPad, or with my business partner?

No. There is no account and no sync, so each device has its own invoices. If you lose the phone, the data on it is gone, which is why the CSV export matters.

How does money back work?

Money back is part of Pro, in four steps. 1. Set the price you agreed with the rep: open an ingredient, or press and hold it in Movers, and tap Set agreed price. It starts at the lowest price you paid in the last 90 days, and any invoice you save after that, priced above it, becomes an overcharge claim. 2. When a delivery comes, the review asks Did it all arrive? Tap Something's short, then Short on the line, and type what came; the rest becomes a claim when you save. 3. Every claim lands in Owed to you, grouped by supplier. Tap Send claim and the message to the rep is written for you, to email, text or share to WhatsApp. 4. When the credit note comes, tap Credited on the claim.

A price change looks wrong.

Open the invoice and check the line against the paper. A line the app found hard to read is marked Hard to read, check it. A change too big to be real, usually a misread or a different pack size, is marked Check this and left out of every total until you check it. Edit the line and the change is worked out again.

Can I change the tax or currency?

Yes. In Settings, pick your country and the usual currency and tax are filled in for you. Change any of them: the currency, the tax name (GST, VAT, sales tax, none or your own word), the rate, whether supplier prices include tax, and whether tax is added up by quarter or month. In Australia, for example, it starts on GST at 10%, per BAS quarter.
